Privacy policy

What we collect, why, where it lives and how to get it removed.

Draft. This policy is a working draft and has not yet been reviewed by legal counsel. It should be reviewed against PIPEDA and applicable provincial privacy law (including Quebec's Law 25) before launch.

Draft of November 6, 2026. Not yet in force.

1. Who we are

TradePilot Pro ("we", "us") provides business management software for trade contractors at app.tradepilotpro.live and operates the marketing website at tradepilotpro.live. Questions about this policy can be sent to hello@tradepilotpro.live.

2. What this policy covers

This policy covers personal information we collect from two groups: visitors to this website (including people who submit the contact form) and users of the TradePilot Pro application. Data that our customers enter about their customers, employees and jobs is covered in section 6.

3. Information we collect on this website

  • Contact form. Name, company, trade, email, phone, crew size and your message, plus the IP address and browser identifier of the submission. We use this to respond to you and to limit abuse of the form.
  • Server logs. Standard web server logs (IP address, pages requested, time, browser) kept by our hosting provider for security and troubleshooting.
  • Cookies. A single session cookie used to protect the contact form against forged submissions. We do not use advertising or cross-site tracking cookies on this website.

4. Information we collect in the application

  • Account information. Your name, email address, phone number, company name, business address, tax registration numbers and role within the company.
  • Billing information. Your plan and trial dates. We do not take card payments today; if that changes, card details will be handled by a payment processor and will not be stored on our servers.
  • Usage information. Sign-in times, actions taken in the application (for the audit log your company sees) and technical data such as device type and IP address.
  • Location. The field app can attach your phone's location to clock-in and clock-out, to site photos and to site measurements, if your phone allows it. Your company administrator can require it for time entries.

5. How we use information

  • To provide, maintain and support the service, including responding to support requests.
  • To bill for the service and send transactional messages (receipts, security notices, service changes).
  • To respond to demo requests and questions submitted through this website.
  • To protect the service against fraud, abuse and security incidents.
  • To improve the product, using aggregated or de-identified usage data.

We do not sell personal information and we do not use it for third-party advertising.

6. Data your company enters about others

When a contractor uses TradePilot Pro, they enter information about their own customers, employees, subcontractors and suppliers. For that information the contractor is the organization responsible for collection and consent; we process it only to provide the service to them, under our terms of service. If you are a customer or employee of a company that uses TradePilot Pro and have a question about your information, please contact that company first. We will assist them in responding.

7. Where data is stored

Application data is stored on a server we operate with a hosting provider. [Owner to confirm: hosting provider name and the country where the server is located.] Contact-form submissions from this website are stored on the website's hosting account. Email notifications may transit the mail systems of our hosting provider and of the recipient.

8. Sharing

We share personal information only with service providers who need it to run the service (hosting, email delivery, payment processing), under agreements that restrict their use of it; when required by law or a valid legal request; or in connection with a merger or sale of the business, in which case this policy will continue to apply.

9. Retention

  • Contact-form submissions: up to 24 months, then deleted. [Owner to confirm.]
  • Application data: for as long as your company's account is active, and for 90 days after closure so you can export it, unless a longer period is required by law (for example tax records). [Owner to confirm the 90 days.]
  • Server and security logs: typically 30 to 90 days.

10. Security

Data is encrypted in transit (HTTPS/TLS). Each company's data is kept separate from every other company's inside the application. The database is backed up nightly. Access to the production server is limited to the people who operate it. [Owner to confirm whether the hosting provider encrypts storage at rest before stating so.] No system is perfectly secure; if we learn of a breach affecting your personal information we will notify you and the relevant authorities as required by law.

11. Your rights

You may ask to access, correct or delete personal information we hold about you, or withdraw consent where consent is the basis for processing, by emailing hello@tradepilotpro.live. We will respond within 30 days. If you are not satisfied with our response you may contact the Office of the Privacy Commissioner of Canada or your provincial privacy regulator.

12. Children

The service is for businesses and is not directed at anyone under 18. We do not knowingly collect information from children.

13. Changes

We will post changes to this policy on this page and update the date at the top. For significant changes affecting application users we will also notify company administrators by email.
